We’re looking for a highly organized, experienced Operations & Sales Coordinator to serve as the daily hub for all company operations — crew scheduling, client communication, and site visit bids.
Job Summary
The Operations & Sales Coordinator acts as Ratliff’s control tower, keeping all moving parts of the business aligned. This person ensures that jobs are scheduled efficiently, crews and equipment are assigned properly, and customers are kept informed at every step.
This role requires both operational oversight and field understanding — someone who knows what it takes to run a successful tree job, and can translate that into a well-run schedule and satisfied customer.
Key Responsibilities
Operations & Scheduling
- Build and manage daily and weekly crew schedules across all divisions (Residential, Commercial, City, Plant Health Care).
- Assign crews and equipment to jobs based on scope, timeline, and readiness.
- Communicate schedule changes promptly to foremen and customers.
- Track equipment status with the Mechanic and ensure all required machinery is available for assigned jobs.
- Keep SingleOps updated with accurate job, crew, and customer information.
Customer Communication
- Contact customers to confirm job dates, answer questions, and provide updates.
- Notify customers quickly about any delays or weather reschedules.
- Ensure a smooth, professional customer experience from scheduling to completion.
Sales Support & Estimating
- Conduct site visits and assist with creating accurate service bids.
- Collaborate with the sales team to ensure new bids transition smoothly into the operations schedule.
- Follow up on open bids and help close jobs through clear communication and responsiveness.
Process Improvement
- Identify and implement scheduling and communication improvements to reduce downtime and increase customer satisfaction.
- Collaborate with leadership to refine systems in SingleOps and strengthen cross-department workflows.
Qualifications
- 3+ years of experience in tree service, landscaping, or construction operations
- Hands-on experience with tree care equipment and crew workflow
- Strong project management and scheduling skills
- Excellent communication — clear, professional, and proactive
- Familiarity with CRM or job-tracking software (SingleOps experience a plus)
- Valid driver’s license; able to conduct field visits when needed
- Problem-solver who thrives in a fast-paced, team-oriented environment
