Administrative Coordinator (Full Time, Hybrid)

Location: Brooklyn, NY
Salary: $22-$24 hourly


We are a full-service arboriculture firm located in Red Hook, Brooklyn, providing urban tree and garden care with a focus on organic products whenever possible. We are seeking an organized people-person to join our team as full-time Administrative Coordinator. You will play an integral “front of house” role that bridges our clients to our sales team of arborists, supports day-to-day office workflow, and contributes to independent and group projects.

You'll be working out of our Red Hook, Brooklyn office, with the option to work remotely during part of the week. On any given day, you'll manage a variety of tasks, and have regular opportunities to proactively problem-solve and help create solutions for our clients and our team.

Customer Support, Scheduling, & Billing

  • Respond daily to phones and emails to schedule consultations and assist clients 
  • Provide exceptional service representation of Arborpolitan 
  • Answer clients’ questions and address any concerns 
  • Ensure correct client information is on file 
  • Maintain sales and office calendars 
  • Relay information between clients-arborists-crew, elevate scheduling and client concerns to sales team when necessary 
  • Handle customer billing & insurance questions 
  • Assist with routine billing

General Administrative Duties

  • Administration of our Google Workspace, gmail accounts, Slack 
  • Help maintain office tidiness 
  • Physical filing & shredding 
  • Receive packages 
  • Assist with purchasing projects as assigned 
  • Update voicemail greetings and phone settings for holidays and personnel changes 
  • Take notes at meetings as needed


  • Support one-time projects and ongoing project cycles including: 
    • Schedule quarterly feedback sessions 
    • Seasonal newsletters/social media posts 
    • Assist hiring efforts: post job listings and schedule interviews 
    • Assist onboarding and offboarding tasks 
  • Help update procedural documentation 
  • Light project management

  • 2+ years of administrative or receptionist experience in a fast-paced, customer focused environment 
  • Excellent customer service skills and professionalism 
  • Excellent written and verbal communication 
  • Highly organized with accurate attention to detail 
  • Proficiency in G-Suite and confidence learning new tech (we use SingleOps, G-Suite, Slack, Grasshopper, Squarespace, and MailChimp) 
  • Ability to prioritize and thrive in an ebb-and-flow environment and readily switch gears between multiple responsibilities and projects 
  • Ability to work mostly independently, while communicating with a team 
  • Willingness to be flexible, roll with the punches, multi-task and troubleshoot problems 
  • Ability to work a normal schedule Monday through Friday from 8am to 4pm (with the option to work occasional Saturdays as you wish to join our crew in the field) 
  • Ability to perform phone calls and work in front of a computer screen including typing for approximately 100% of a typical work day 
  • Available to work out of our Red Hook, Brooklyn office with the option to work from home up to approximately 2 days/week 

Nice to Have...

  • Genuine interest in the field of urban arboriculture and a passion for urban nature
  • Experience in the field of gardening, arboriculture or landscape design 
  • Knowledge of tree and shrub ID, and insect/pest disease 
  • Experience in project management or front desk sales
